Service history and claim files, backed up off the workshop PC
Dealerships and independent garages keep job cards, service history, warranty claims, insurance claim files and vehicle sales papers. triplicate copies the PCs and documents to two more places every night.
What you hold, and where it lives today
Usually one copy, in one place. That's the part we fix.
| Records | Where they usually live |
|---|---|
| Job cards and service history by vehicle number | Workshop software on the service advisor's PC |
| Vehicle sales files: booking, finance and registration papers | Sales office PCs and scans |
| Warranty claims with photos of failed parts | The service manager's PC and phone |
| Insurance claim files: estimates, surveyor photos, approvals | The insurance desk PC and email |
| Spare parts stock and purchases | The parts counter PC |
| Accounts and GST | The accounts PC |
How it actually gets lost
- A customer says a part was replaced last year. The job card is the only proof, and it's on one PC in an oily workshop.
- Warranty claims are rejected without the photos and the original job card. Lost records are lost money.
- Insurance claim files go back and forth for weeks. Lose the surveyor's photos and you start again.
- Many staff PCs share one network. One infected pen drive at the parts counter can spread to the rest.
What we back up
You choose the folders and mailboxes. Copy one stays with you; copies two and three go to two storage providers you choose, one of them on another continent (Mumbai or Hyderabad if your data must stay in India).
Workshop and sales PCs
Job card exports, sales files and the parts counter's data, every night.
Claim photos
Warranty and insurance photos from phones, filed by date.
Mailboxes for insurance, warranty and customer communication.
What's on your side
If your manufacturer runs the dealer system in its own cloud, we back up what you hold: exports, scans, photos, email and accounts.
Share bills with your CA, every month
Your accountant needs the same papers every GST month and every July. Put them in one shared folder instead of sending photos over WhatsApp.
A 'For my CA' folder
Supplier bills you scan, sales reports and bank statements are filed by financial year and month automatically.
Your CA opens it directly
Invite your CA by phone or email. They view and download what they need, when they need it.
Returns come back to the same place
Let your CA add files, so filed returns and acknowledgements sit next to the bills they came from.
You stay in control
See what was opened and downloaded, and remove access in one tap. Nothing else in your backup is shared.
