If the counter PC dies, do you still know who owes you?
Sales, stock, udhaar accounts, supplier bills and GST: most shops keep them on the billing computer and the owner's phone. triplicate copies them every night to two more places.
What you hold, and where it lives today
Usually one copy, in one place. That's the part we fix.
| Records | Where they usually live |
|---|---|
| Sales, stock and item rates | Billing software on the counter PC |
| Udhaar (credit) accounts of regular customers | Billing software, a khata app or a notebook |
| Supplier and distributor bills | Paper files and WhatsApp photos |
| GST returns and purchase registers | The counter PC, or with your accountant |
| UPI and card settlement reports | The owner's phone and email |
How it actually gets lost
- The counter PC runs all day in heat and dust, on the same line as the shutter lights and the fridge. Disks fail without warning.
- If the udhaar record is lost, you can't say who owes what, and customers remember it differently.
- Theft or a fire takes the PC with it, along with any backup drive kept in the same shop.
- Someone reinstalls Windows to fix a slow PC and the billing data folder goes with it.
What we back up
You choose the folders and mailboxes. Copy one stays with you; copies two and three go to two storage providers you choose, one of them on another continent (Mumbai or Hyderabad if your data must stay in India).
Billing and stock data
The billing software's data or backup folder on the counter PC, every night after closing.
Supplier bills
Snap a bill on the phone app. It's filed by month and supplier, ready for your accountant.
GST and accounts
Returns, purchase registers and the accounts folder.
Shop papers
Trade licence, GST registration and rent agreement scans from your phone.
Share bills with your CA, every month
Your accountant needs the same papers every GST month and every July. Put them in one shared folder instead of sending photos over WhatsApp.
A 'For my CA' folder
Supplier bills you scan, sales reports and bank statements are filed by financial year and month automatically.
Your CA opens it directly
Invite your CA by phone or email. They view and download what they need, when they need it.
Returns come back to the same place
Let your CA add files, so filed returns and acknowledgements sit next to the bills they came from.
You stay in control
See what was opened and downloaded, and remove access in one tap. Nothing else in your backup is shared.
How it works
- 1
We set it up with you
A short call. We pick the computers, phones and mailboxes that matter and set up the agent or app together.
- 2
It runs on its own
New and changed files are encrypted and copied every night; email every few hours. Nobody has to remember.
- 3
Restore when you need to
Dead disk, deleted folder or ransomware: download yesterday's files, or last month's, from any computer.
