Measurement books, running bills and site photos, safe from the site office
Contractors get paid on measurements, running bills and photos taken on site. Most of that lives on a site laptop and the engineers' phones. triplicate copies it every night to two more places.
What you hold, and where it lives today
Usually one copy, in one place. That's the part we fix.
| Records | Where they usually live |
|---|---|
| Measurement books and running account bills | The site engineer's laptop |
| Drawings and revisions from the client or architect | Email and a shared folder |
| Daily site photos and progress reports | Engineers' and supervisors' phones |
| Tender documents, work orders and bank guarantee copies | The head office PC |
| Labour attendance and wage sheets | The site office |
| Material bills and stock at site | The site office and WhatsApp |
How it actually gets lost
- A running bill is disputed, and the photos proving the work was done are on a supervisor's phone that was lost or reset.
- Site offices are temporary cabins: dust, roof leaks, generator power and theft when the site is quiet.
- Final bills and retention money are settled months after handover, often by people who were never on site. The records have to outlast the project team.
- Working from the wrong drawing revision means rework. Every revision, with the date you received it, shows which one you were given.
What we back up
You choose the folders and mailboxes. Copy one stays with you; copies two and three go to two storage providers you choose, one of them on another continent (Mumbai or Hyderabad if your data must stay in India).
Site and office laptops
Measurement books, bills and tender folders, every night, with older versions kept.
Site photos
The phone app uploads progress photos from engineers' phones on Wi-Fi, filed by date.
Drawings and email
The mailboxes where drawings and instructions arrive, copied every few hours.
Locked copies
Object lock keeps copies of final bills and measurements that can't be changed or deleted until the date you set.
Share bills with your CA, every month
Your accountant needs the same papers every GST month and every July. Put them in one shared folder instead of sending photos over WhatsApp.
A 'For my CA' folder
Supplier bills you scan, sales reports and bank statements are filed by financial year and month automatically.
Your CA opens it directly
Invite your CA by phone or email. They view and download what they need, when they need it.
Returns come back to the same place
Let your CA add files, so filed returns and acknowledgements sit next to the bills they came from.
You stay in control
See what was opened and downloaded, and remove access in one tap. Nothing else in your backup is shared.

- 3
Restore when you need to
Dead disk, deleted folder or ransomware: download yesterday's files, or last month's, from any computer.
