Your client book shouldn't live on one phone
An agent's or advisor's business is the client book: policies, KYC, nominee details, renewal dates and risk profiles. Most of it lives on one phone and a laptop. triplicate keeps two more encrypted copies.
What you hold, and where it lives today
Usually one copy, in one place. That's the part we fix.
| Records | Where they usually live |
|---|---|
| Clients with policies, premiums and renewal dates | Phone contacts, a spreadsheet or an app |
| KYC documents: PAN, Aadhaar, photos | The phone gallery and WhatsApp |
| Proposal forms, policy documents and claim papers | Email and scans |
| Risk profiles, financial plans and advice notes | The laptop |
| Commission statements | Email from insurers and fund houses |
How it actually gets lost
- A lost phone is a lost client book: renewal dates, nominee details and every KYC photo.
- KYC copies in a phone gallery are a privacy risk if the phone is stolen. They should be encrypted.
- A claim comes years after the policy was sold, and you need the proposal form and what was disclosed.
- If a client says the advice was unsuitable, your notes from that time are your answer.
What we back up
You choose the folders and mailboxes. Copy one stays with you; copies two and three go to two storage providers you choose, one of them on another continent (Mumbai or Hyderabad if your data must stay in India).
Phone documents
KYC and policy folders you choose, encrypted on the phone before upload.
SMS
Premium and payment alerts: full history on Android; new incoming messages on iPhone via a Shortcuts automation.
Laptop folders
Client spreadsheets, plans and advice notes, every night.
Mail from insurers, fund houses and clients, copied every few hours.
Share bills with your CA, every month
Your accountant needs the same papers every GST month and every July. Put them in one shared folder instead of sending photos over WhatsApp.
A 'For my CA' folder
Supplier bills you scan, sales reports and bank statements are filed by financial year and month automatically.
Your CA opens it directly
Invite your CA by phone or email. They view and download what they need, when they need it.
Returns come back to the same place
Let your CA add files, so filed returns and acknowledgements sit next to the bills they came from.
You stay in control
See what was opened and downloaded, and remove access in one tap. Nothing else in your backup is shared.
How it works

We set it up with you
A short call. We pick the computers, phones and mailboxes that matter and set up the agent or app together.
- 2

- 3
Restore when you need to
Dead disk, deleted folder or ransomware: download yesterday's files, or last month's, from any computer.
