Donor and programme records that outlast volunteers' phones
NGOs and trusts answer to donors, CSR funders and the income tax department, all of whom ask for records years later. Most of it sits on one office laptop and volunteers' phones. triplicate keeps two more copies.
What you hold, and where it lives today
Usually one copy, in one place. That's the part we fix.
| Records | Where they usually live |
|---|---|
| Donor list and donation receipts | The office laptop |
| 12A, 80G and FCRA registration documents | Scans on the office PC |
| Beneficiary records and case files | Field staff's phones and registers |
| Project reports, photos and utilisation certificates | Programme staff's laptops |
| Accounts and audited statements | The accountant's PC |
| Trust deed and board resolutions | A paper file |
How it actually gets lost
- Donation statements and receipts depend on an accurate donor list. Lose it and you rebuild it from bank statements.
- A CSR funder asks for photos and reports from a programme that ended three years ago.
- Volunteers and field staff come and go, and the data stays on their personal phones.
- Beneficiary records about children, patients or women in shelters are sensitive and must be encrypted.
What we back up
You choose the folders and mailboxes. Copy one stays with you; copies two and three go to two storage providers you choose, one of them on another continent (Mumbai or Hyderabad if your data must stay in India).
Office laptop
Donor records, receipts, registrations and accounts, every night.
Field photos and records
The phone app uploads programme photos and documents from staff phones on Wi-Fi.
The organisation's mailboxes, copied every few hours.
Encryption
Beneficiary files are encrypted before they leave the device. We can't read them.
Share bills with your CA, every month
Your accountant needs the same papers every GST month and every July. Put them in one shared folder instead of sending photos over WhatsApp.
A 'For my CA' folder
Supplier bills you scan, sales reports and bank statements are filed by financial year and month automatically.
Your CA opens it directly
Invite your CA by phone or email. They view and download what they need, when they need it.
Returns come back to the same place
Let your CA add files, so filed returns and acknowledgements sit next to the bills they came from.
You stay in control
See what was opened and downloaded, and remove access in one tap. Nothing else in your backup is shared.
