Batch numbers, expiry dates and H1 records, kept off the counter PC
A medical store's billing PC tracks every batch, expiry date and prescription sale. If it fails, rebuilding stock from the shelves takes days. triplicate keeps two more copies every night.
What you hold, and where it lives today
Usually one copy, in one place. That's the part we fix.
| Records | Where they usually live |
|---|---|
| Stock by batch and expiry date | Pharmacy billing software on the counter PC |
| Schedule H1 sales register | Billing software or a paper register |
| Distributor purchase invoices | Paper files, email and WhatsApp |
| Prescriptions kept on file | Paper, sometimes photographed |
| Credit to regular customers and nursing homes | Billing software |
| Drug licence, pharmacist registration and GST registration | A file in the drawer |
How it actually gets lost
- Without batch-wise stock data you can't tell which customers bought a recalled batch, and expiry returns to distributors become guesswork.
- A drug inspector asks for the H1 entry for a sale from two years ago. A crashed PC isn't an answer.
- Counter PCs in small stores run long hours and get used for everything else too, which is how malware gets in.
- Stores with several counters or branches share one database. One failed disk stops all of them.
What we back up
You choose the folders and mailboxes. Copy one stays with you; copies two and three go to two storage providers you choose, one of them on another continent (Mumbai or Hyderabad if your data must stay in India).
Billing and stock data
The billing software's data or backup folder, every night after closing.
Distributor bills
Snap paper invoices on the phone app; they're filed by distributor and month.
Registers and prescriptions
Scanned H1 register pages and prescriptions, encrypted.
Licences
Drug licence, registrations and renewals, kept where you can find them when an inspector asks.
Share bills with your CA, every month
Your accountant needs the same papers every GST month and every July. Put them in one shared folder instead of sending photos over WhatsApp.
A 'For my CA' folder
Supplier bills you scan, sales reports and bank statements are filed by financial year and month automatically.
Your CA opens it directly
Invite your CA by phone or email. They view and download what they need, when they need it.
Returns come back to the same place
Let your CA add files, so filed returns and acknowledgements sit next to the bills they came from.
You stay in control
See what was opened and downloaded, and remove access in one tap. Nothing else in your backup is shared.

- 3
Restore when you need to
Dead disk, deleted folder or ransomware: download yesterday's files, or last month's, from any computer.
